Who we are
Omni Management Ltd, trading as Omnium, is the data controller for the personal data described in this notice. We are registered in England and Wales, company number 14666993, at 18 Albert Road, Bournemouth BH1 1BZ. Our registration with the Information Commissioner’s Office is 00012783079.

What we hold
We hold the following, and no special category data:
Business contact details: name, job title, employer, work email address, work telephone number and site address.
Correspondence with us, including enquiry form submissions, email, and notes of calls and meetings.
Supply and account data obtained under a Letter of Authority: meter identifiers, consumption data, contract terms, invoices and account numbers.
Supply and account data relates to an organisation rather than to an individual. It falls within this notice only where a supply is held in the name of a sole trader or an individual.

Lawful basis
Contract: where we are appointed and the data is needed to carry out the work.
Legitimate interests: for business to business correspondence, responding to an enquiry, and administering an account. Our interest is in providing the service that was asked for, and we have considered that it does not override your interests.
Legal obligation: where a record has to be kept, for example for tax, or produced to a regulator.
We do not rely on consent for the work we do, and we do not buy contact lists.

Letters of Authority
We hold a Level 1 Letter of Authority. It allows us to obtain your supply data from suppliers, network operators and central market systems, and to advise on it. It does not allow us to sign a contract, change a supplier or alter an account. You sign every contract yourself.
A Letter of Authority can be withdrawn in writing at any time. We will confirm the withdrawal and stop making data requests.

Who we share data with
Energy and water suppliers, network operators and market data services, where that is needed to run a tender, query a charge or administer a supply.
Contractors quoting for or delivering a project, where you have asked us to approach them.
Our own service providers, for example email, document storage and accounting, acting on our instructions.
Auditors, regulators and professional advisers, where required.
We do not sell personal data and we do not share it for advertising. Where a provider stores data outside the United Kingdom, we rely on the transfer safeguards permitted under UK data protection law.

How long we keep it
Enquiries that do not proceed: kept for up to two years, then deleted.
Account and contract records: kept for the life of the account and then for six years after the final contract ends, so that a query on a historic contract can still be answered.
Records we must keep by law, for example tax records: kept for the period the law requires.

Your rights
You have the right to ask for a copy of the personal data we hold about you, to have it corrected, to have it deleted where we have no continuing basis to keep it, to restrict or object to our processing, and to receive it in a portable form where it was provided under a contract.
Write to hello@askomnium.co.uk. We will respond within one month. If we need longer, we will tell you why within that month.
If you are not satisfied with our response, you can complain to the Information Commissioner’s Office at ico.org.uk, by telephone on 0303 123 1113, or by post to Wycliffe House, Water Lane, Wilmslow SK9 5AF. We would rather you came to us first, but you do not have to.

The enquiry form sends what you type to us by email. It includes a hidden field used to filter automated submissions, and no third party verification service.
